A template someone copies
The checklist is good — when someone remembers to copy it, assign it and keep it current. Every listing starts from a fresh copy and drifts from there.
RealDiligence · for real estate teams
Each listing and each buyer becomes a file that moves through your team's own process. Every block of work lands with the person who does it — agent, transaction coordinator, marketing — and every deadline comes from the contract and moves when the contract does.
The problem
The checklist is good — when someone remembers to copy it, assign it and keep it current. Every listing starts from a fresh copy and drifts from there.
The closing slides a week, and every reminder built off it is now wrong. Somebody has to notice, and somebody has to fix them all by hand.
The agent, the coordinator and marketing each track their part. Where a deal stands is a group text away.
How it works
A file opens when the listing or buyer agreement goes out — signed right on the file, agent first, then the client.
Each checklist goes to whoever holds that role on the file. One agent per file, so a deal's work isn't scattered across the team.
Enter the contract dates once. Due diligence, earnest money, closing countdowns all follow — and move when a date moves.
Coming soon, active, under contract, closed: set by the step that changes it, not by someone remembering to.
Daily agenda
One email a morning for each person who wants it: their steps and tasks due today, what's coming up this week, and the key dates on the files they follow. No digging through every listing to find your part.
E-signature, built in
Send the listing or buyer agreement from the file. The agent signs first to complete the terms, then the client. The signed copy stays on the file. Declined or expired? It comes back to the agent to resend or close out.
When the seller signs, the listing launch checklist goes to the agent and setup goes to the coordinator.
Deal tracker
Each agent's goal, closed and pending deals, GCI and days on market — filled in from the files themselves, with this week's deadlines in red. Saved every Monday morning for the team meeting. Bring your old sheet: it imports, and exports in the same columns.
| Agent | Closed | Pending | Goal |
|---|---|---|---|
| AG Agent 1 | $3.2M | $1.1M | 72% |
| AG Agent 2 | $2.4M | $0.7M | 62% |
| AG Agent 3 | $1.9M | $0.9M | 56% |
| Team | $7.5M | $2.7M | 64% |

From the teams we work with
“Our listings lived in Asana, the contract dates lived in the paperwork, and the follow-up lived in my head. RealDiligence puts it all in one file, so every person on the team knows what's theirs and when it's due.”
“When a closing date moves, every deadline moves with it. No more re-doing the calendar by hand or chasing the coordinator to find out where a deal stands — it streamlines everything from listing to close.”
Questions
No. Your coordinator still enters the listing in the MLS, as your process already says. RealDiligence tracks the status changes and holds you to their deadlines.
Good — it should be yours. Listing and buyer templates come ready to use, and the team lead can change fields, checklists, rules and emails in the browser. No developer, no waiting.
Leads stay in your CRM. A file starts at the agreement, and can be opened straight from the CRM with the right agent already on it. Follow Up Boss is supported today.
